Microsoft has introduced a new file-sharing system called Hero Links for OneDrive and SharePoint. The company describes this update as the most significant architectural change to Microsoft 365 file sharing since the introduction of link-based sharing in 2014.
The new system provides a single primary link for every file and folder. Users can copy this URL from the sharing dialog, email, or browser address bar, ensuring consistency regardless of the source. This replaces the previous method that often required generating multiple links for the same content.
Hero Links allow users to adjust access permissions dynamically after a file has been shared. Permissions can be expanded or restricted without the need to generate or distribute new links. By default, access is limited to users already added to the file, though administrators can configure default sharing audiences for SharePoint sites or OneDrive accounts.
The update also includes revised permission management logic. Users with editing rights can now re-share content, and changes to folder permissions will automatically apply to the files contained within them. Existing shared links will remain active and will be managed under a separate section labeled Other Links.
The rollout of the Hero Links feature began in October 2026, with full deployment expected to be completed by November 2026.
