Lemana Tech, which develops the Lemana PRO platform, has automated its report review process using Yandex Tracker. The company manages approximately 1,000 production reports, with several dozen review tasks generated monthly by a team of over 50 BI developers serving more than 20,000 users.

The team established a dedicated 'REPORTS' queue in Yandex Tracker to isolate the process, manage access rights, and define unique task lifecycles. Technical accounts (bots) possess full administrative rights, while standard employees have read-only access to tasks. Roles such as technical owners, reviewers, and data stewards are assigned via local fields.

Automation is handled through triggers, auto-actions, and a single cloud function. Auto-actions scan the queue periodically to send deadline reminders and daily lists of tasks ready for review to a Loop channel. Triggers enforce business logic, such as validating report descriptions in a data catalog and blocking transitions if requirements are unmet.

The team uses a single cloud function to handle complex integrations that standard webhooks cannot perform, such as receiving and processing responses from external systems. Triggers send POST requests to this function with a JSON payload containing parameters like 'run_fn', 'report_id', and user LDAP logins to execute specific automation scripts.

The developers identified limitations in Yandex Tracker, specifically the inability to prevent users from clearing mandatory local fields and issues with asynchronous API behavior when handling hidden fields. To address these, the team is considering using hidden backup fields or moving specific logic sequences entirely into their cloud function.
